The current reality

Sound familiar?

You run one golf fundraiser a year. It raises serious money for your cause — but the weeks leading up to it are controlled chaos, and so is the day itself.

  • Board members move on. The sponsors they recruited — and the golfers they brought — disappear from institutional memory. Nobody at next year's tournament thinks to reach out.
  • Sponsor commitments in one spreadsheet, ad uploads tracked in another, golfer registrations in a Google Form someone set up three years ago.
  • Chasing booklet ads and yard-sign artwork one painfully polite email at a time — for weeks.
  • Flipping between spreadsheets, check images, and Venmo screenshots trying to figure out which sponsors and golfers have actually paid.
  • Event morning: a clipboard, a printed list, a prayer — and volunteers who aren't sure what they're supposed to do.
  • 'Are we making money? Is this worth our time?' — no real answer until weeks after the event, when you're reconciling bank statements against envelopes of cash and stacks of sponsor checks.
  • Volunteer burnout. The same three people carry everything and they're exhausted before the first tee shot.

That's the workflow GolfFund replaces.

See it in action

Five moments. One dashboard.

Four weeks before the event — the morning of — two days after — the new board chair clones it with one click — and three months out from Year 2, with every past sponsor and golfer already at her fingertips. The platform gets more valuable every year you use it.

Slide 1 of 5 · Year 2 is rolling — past sponsors at your fingertips

Year 2 is rolling. Past sponsors, past golfers, and past families are already in the system. The event dashboard surfaces what needs your attention — and the new year-tracking widgets show how this year stacks up against last.

  • · No record of who renewed, who declined, who's still waiting
  • · Whoever set up last year's tiers / cost lines isn't here this year
  • · You re-explain to every sponsor what tier they were at last time

What powers it

Four pillars, one platform

Most tools handle one piece — registration OR payments OR pairings. GolfFund integrates all four, with finance as the connective tissue that ties every action back to your P&L.

HOLE 1

Sponsor management + renewal

Most sponsors don't renew because nobody remembers to ask. GolfFund is built around that. Every past sponsor, ad, payment, and contact lives in your year-over-year directory — and your event dashboard surfaces a Year N tile + a last-year renewal-rate metric so you always know where you stand. Industry baseline: 43% nonprofit donor retention. With your full sponsor history in one place, beating that is the default.

  • Year N tile + renewal rate from last year on every event dashboard (FEP industry baseline: 43%)
  • Per-sponsor year-by-year history strip — tracked years from GolfFund + manually-entered prior years with $ amounts
  • Renewal pipeline tab: CRM status, contact log, follow-up dates, last-touch surfacing
  • One-click bulk-announce composer pre-loaded with every past sponsor + a renewal template
  • Magic-link sponsor portal (ad uploads + payment tracking) + auto-numbered sponsor invoices
HOLE 2

Golfer & member registration

Captains register foursomes through a public link. Members log in to see their fundraising minimum, recruit sponsors with a personal link, and watch contributions roll up automatically — from registrations, sponsorships they brought in, and direct buyouts.

  • Public team registration
  • Captain self-edit (no logins for golfers)
  • Member contribution dashboard
  • Buyouts + 4-golfer-team rules
HOLE 3

Financial system of record

Costs in, revenue in, profit out. Per-golfer fixed-cost projections tell you if you'll hit goal before event day. Cash reconciliation closes the day. Donor receipts handle the quid-pro-quo math automatically. CSV exports for your accountant.

  • Real P&L by event
  • Sponsor + member contribution rollups
  • Donor receipts (501c3-ready)
  • Cash reconciliation + CSV export
HOLE 4

Event day

Build flights with drag-and-drop, print clean pairings for the clubhouse to assign holes, check golfers in from your phone, sell mulligans and on-course games at the station. Everything you collect — cash, e-payments, add-ons — lands in the same P&L.

  • Drag-and-drop flights
  • Printable pairings sheet
  • Mobile check-in + add-on sales
  • Cash + e-payment tracking
The integration is the point

A sponsor commits → it shows up in your P&L AND in the member who recruited them. A golfer registers → the captain's team appears in flights AND the registration fee credits the member. A coordinator marks a payment received → cash reconciliation updates. Every action ripples through every view, automatically.

Common questions

!Are you a member of an organization, a golfer, or a sponsor looking for your org or event page?

GolfFund is the tool for the organization running the tournament — the booster club, charity, alumni association, or school. If you're a parent, sponsor, or golfer trying to access your personal page, you don't sign up here. The org that invited you will send you a direct link by email — open it from there. Lost it? Ask the person running the fundraiser to resend.

Who is this for?

Non-profits, schools, youth sports teams, alumni associations, and charities that run a golf fundraiser. If you're juggling sponsor signups, golfer registration, an event-day check-in, AND trying to figure out what you actually netted — this is built for you. NOT for individual members/sponsors/golfers participating in a tournament — they get a personal link from the organization, no signup needed.

What does it actually do?

Sponsor commitments + ad uploads + renewal pipeline, public team registration, member contribution tracking, drag-and-drop flights, printable pairings, mobile check-in, on-course game sales, mulligan purchases, cash reconciliation, full P&L, donor receipts, sponsor invoices, bulk announcement composer, and CSV export. It's an end-to-end platform — not just a registration tool, not just an accounting tool.

And what it doesn't do

We're the back office for the organization. We don't run the golf side — that's your clubhouse's job. Specifically:

  • · No live scoring (your scoring app does this)
  • · No GHIN / handicap integration
  • · No tee-time integration with the course
  • · No payment processing (use Zeffy, Venmo, checks — we record them)
  • · Not opinionated about tournament format or duration

Already use GolfGenius / BirdEase / Eventbrite for registration? Keep using it — we'll record the count and link, and produce the P&L correctly.

How do I get started?

Three steps, about a minute each:

  1. Create your organization. Sign up with email or Google, name your non-profit, set a default member contribution minimum. No setup wizard.
  2. Add your event & budget. Date, location, budget goal, sponsor tiers. Define your per-golfer fixed costs so projected profit updates as people register.
  3. Share your links. One for sponsors, one for golfers. Families log in to recruit. By event day every name, dollar, and pairing is already in the system.
Who logs in, and how does the team connect?

Five distinct audiences, two levels of friction:

With a login (email + password or Google) — for the people running the fundraiser:

  • Organizers, coordinators, finance, viewers — your board and core team. See the full P&L, every member's status, every sponsor commitment. Role-based permissions control what each member can edit.
  • Golf course partners (coming soon) — see referred orgs and commission earned.

No signup needed (magic-link only, no passwords) — for the people you ask for money or time:

  • Families — get a personal magic-link email when an organizer adds them. From there they track their contribution minimum, recruit sponsors via a personal link, and register additional golfers. No password to remember.
  • Sponsors — fill out the public form once. Get a permanent magic-link email to view their commitment, upload ads, update contact info.
  • Golfers — register a foursome through a public link. Captains edit team info via email — no logins, no friction.
  • Event-day volunteers — added per event by name + email + phone. We can email arrival reminders without making them sign up.

Less friction for the people you ask for money or time; more capability for the people running the fundraiser.

What happens after the 45-day trial?

You're auto-prompted to subscribe at $299/year. If you don't, your data is preserved (you can read it, export it, log in) but writes are paused until you subscribe or cancel. No credit-card-on-file gotcha — we never charge a card you didn't intentionally enter. And if Pro doesn't pay for itself within year one, you get a refund: full money-back guarantee.

How does this actually pay for itself?

The Fundraising Effectiveness Project tracks nonprofit donor retention industry-wide. The benchmark: organizations retain only 43–55% of their donors year over year — meaning roughly half of every relationship you worked hard to build last year is gone by next year.

Corporate sponsors are often worse, because the renewal process is painful: last year's ad artwork is missing, sponsor history is scattered across spreadsheets, and the follow-up email feels awkward and unprofessional. So you don't send it.

GolfFund changes that. Sponsors get their own portal, can reuse last year's artwork in one click, and your board can send polished renewal requests with full history and impact data. The math from there is simple:

  • Retain one extra $500 sponsor → Pro pays for itself 1.7×.
  • Run a second tournament with the same Pro license → the math doubles before counting any new sponsors.
  • Over three years, a single $500 retained relationship is $1,500 against $897 total in GolfFund cost.

Most orgs save several. The platform is positive-ROI before the first event-day check-in — and that's before counting the volunteer hours you stop burning on spreadsheet reconciliation and the donor-receipt math.

And if it doesn't pay for itself: 45-day free trial up front, plus a money-back guarantee for the entire first paid year. If GolfFund isn't earning its keep, you get a refund — no questions, no clawbacks.

Can I export our data?

Yes. Every list has a CSV export. The Contacts page exports members, sponsors, and golfers with every field for mailmerge in Outlook or Gmail. Your data is yours.

Do I need a Google account?

No. You can sign up with email and password, or with Google if you prefer. Either works.

Is donor and member data private?

Yes. Each organization's data is isolated by row-level security in our database — only members of your org's team can see your members, sponsors, and golfers. We never share data across organizations or with third parties.
